Part-Time Receptionist
Position Overview:
Hours: Monday - Thursday 4:00 pm - 7:00 pm, Saturday's 9:00 am to 5:00 pm.
As a part-time Receptionist at Marigold Ford Lincoln, you will serve as the primary point of contact for customers, creating a welcoming and positive first impression of the dealership. The individual in this role will play a pivotal role ensuring smooth customer interactions and efficient front desk operations by responding to incoming calls and inquiries and maintaining accurate records of relevant information.
What You'll Do:
- Provide a warm welcome to all dealership visitors, directing them to the appropriate departments and staff members as needed.
- Answer all incoming phone calls within two rings (30 seconds) in a professional, courteous manner.
- Respond to customer inquiries regarding basic dealership information, such as location, hours of operation, and services offered.
- Accurately take and relay messages to the appropriate individuals.
- Perform additional administrative duties as required.
Service Advisor
Position Overview:
The Service Advisor at Marigold Ford Lincoln plays a vital role in delivering exceptional service department experiences to our continuously growing customer base. As the intermediary between the customer and our technicians, the successful candidate will provide guidance and assistance while recommending required services. An ability to use advanced communication technology including chat, text and video is a required skill for this position.
What You'll Do:
- Act as the go-to person between our valued customers and our skilled technicians, ensuring seamless communication and top-notch service.
- Elevate the customer experience by using tools like video and digital updates to build trust and transparency throughout the maintenance or repair process.
- Greet every customer with a friendly, professional attitude that reinforces their loyalty and sets the tone for a positive experience.
- Help customers with vehicle pick-ups and make sure their records are current, so we can personalize and streamline their future visits.
- Clearly explain the work completed and upcoming maintenance needs, so customers leave informed and confident.
- Keep customers posted when back-ordered parts arrive and ensure they’re promptly contacted.
- Review work in progress and open repair orders to make sure everything is running on time and to standard.
- Accurately diagnose and document customer concerns to ensure technicians have clear direction.
- Take on additional projects or tasks as needed to support your team and grow your skills.
Service Administrator
Position Overview:
The Service Administrator plays a critical role in supporting the Service Department by ensuring accurate invoicing, proper documentation, timely follow-ups, and smooth coordination between internal departments, manufacturers, warranty providers, and external companies. This position requires strong organizational skills, attention to detail, and the ability to manage multiple administrative and accounting-related tasks in a fast-paced dealership environment.
What You'll Do:
1. Invoicing & Accounts Coordination
- Ensure all companies and business partners receive accurate and timely invoices
- Obtain and verify Purchase Orders (POs) from companies prior to invoicing
- Attach corresponding Repair Orders (ROs) to invoices before submission
- Follow up with companies regarding outstanding accounts and unpaid invoices
- Maintain accurate records of billing and collections activity
2. Warranty & Documentation Processing
- Ensure all paperwork submitted to warranty companies and external businesses is complete, accurate, and compliant with manufacturer and company requirements
- Review repair orders and supporting documentation for errors or missing information prior to submission
- Communicate with service advisors and technicians to resolve documentation discrepancies
3. Parts & Special Orders
- Follow up on special order parts to ensure timely receipt and proper billing
- Coordinate with the Parts Department regarding order status and required documentation
- Confirm parts are correctly assigned to repair orders and invoices
4. FordPass Points Administration
- Track and follow up on FordPass Points submissions and redemptions
- Ensure points are applied correctly and related documentation is completed accurately
- Resolve discrepancies or issues related to FordPass Points usage
5. Accounting & Administrative Support
- Perform additional accounting and administrative duties as required
- Assist with filing, record keeping, and internal audits
- Support the Service and Accounting departments with reporting and reconciliation tasks
Vehicle Porter
Position Overview:

We are now looking for a full-time Vehicle Porter to join our team and contribute to our continued success. At MFL, you will have the opportunity to work in a dynamic and supportive environment where your skills and dedication will be valued.
What You’ll Do:
1. Lot Organization & Management
- Maintain a clean, organized, and professional service lot at all times
- Strategically park vehicles to maximize space and maintain efficient traffic flow
- Ensure all vehicles are parked in designated areas according to dealership process
- Monitor lot congestion and proactively adjust vehicle placement as needed
- Keep fire lanes, customer parking, and service drive lanes clear
2. Vehicle Relocation & Inventory Flow
- Move vehicles between the main service lot and secondary/additional lot as directed
- Coordinate with Service Advisors and Technicians to ensure vehicles are accessible for scheduled appointments
- Retrieve vehicles from overflow/storage lots in a timely manner
- Assist in staging completed vehicles for customer pick-up
- Support inventory organization by ensuring vehicles are grouped appropriately (waiting for parts, ready for delivery, in-progress, etc.)
3. Customer & Service Drive Support
- Pull customer vehicles up to the service drive upon pick-up
- Assist in maintaining an orderly and welcoming service entrance
- Support advisors during peak traffic times by managing vehicle flow
4. Safety & Cleanliness
- Perform regular lot walks to remove debris, garbage, snow, or hazards
- Ensure all vehicles are locked and secured
- Report any vehicle damage immediately
- Follow dealership safety procedures while operating vehicles
- Additional duties as requested by management
